edu Recruitment Type: General Public - G Job Duties The Assistant Director for University Events, serving as an integral member of Norfolk State University’s Office of University Events, assists the Executive Director for University Events and Vice President for University Advancement in the planning and execution of major university and fundraising events.
Primary Responsibilities Event Planning Plan, organize, manage, and execute the university’s major and annual events including but not limited to commencement, freshman convocation, President’s gala, Founders Day celebrations, President’s luncheons, donor cultivation events, etc.
Serve as the University Events representative on various campus-wide committees to provide advice and strategies for event success as well as plan or assist with planning for departmental events.
Work collaboratively with an array of campus partners to oversee the event and engagement strategy for assigned events.
Research, recommend, and secure venues and vendors as required by event goals, designs, and themes.
Manage all on-site logistics for events.
Identify, recruit, train, manage, and motivate volunteers (student, staff, alumni, etc.
).
Oversee the production of all publications and related collateral materials as well as manage the marketing for each event.
Event Management Accurately track RSVPs and event attendance.
Input and manage event reservations in 25Live and other event management systems.
Prepare mail merges and invitation lists for various events.
Field event-related phone calls and inquiries.
Manage and update content on various University Events webpages.
Create event materials such as PowerPoints and slide decks, programs, table signs, nametags, certificates, placards, and other signage and event-related materials.
Assist the Executive Director for University Events and Vice President for University Advancement with other duties as assigned.
Minimum Qualifications Bachelor’s degree required 3-5 years of progressive event planning experience, or an equivalent combination of experience and education Outstanding written, verbal, and interpersonal skills.
Strong leadership skills and ability to work independently.
Ability to work collaboratively with various constituent groups, colleagues, volunteers, and campus partners.
Ability to manage large projects; gather, condense, and synthesize information, and ability to provide accurate analysis and summaries.
Experience with computer technologies, especially Microsoft Office Suite, Raiser’s Edge, AdobeSuite, Google Docs.
Detail-oriented and consummate professional with the ability to multi-task, meet/exceed deadlines, and maintain accuracy in work performance in a fast-paced environment.
Ability to participate in and contribute to high-level discussions; possess diplomacy and good judgment while working with staff, volunteers, and sensitive information.
Willingness to work evenings, weekends, and extended hours as needed during peak event season.
