National Vascular Associates has an exciting new opportunity! We are looking for a Podiatry Medical Office Manager to be part of our growing practice.
*Responsibilities:*
● Oversee and manage the front desk of a growing podiatry clinic.
● Work closely with the administrative team at our Vascular clinics for referrals.
● Answer phone calls and emails to coordinate care for patients and their families.
● Routinely review faxes and call patients to schedule appointments that were faxed from referring providers.
● Manage new patient intakes- including waitlists, acquiring proper referrals and intake paperwork.
● Verify and communicate Insurance eligibility and benefit information.
● Manage calendars (both in EMR system and Outlook Master Calendar).
● Greet and check in/ out patients at the front desk.
Collect appropriate payment as needed.
● Assist with maintaining compliant policies and procedures, including HIPAA.
● Maintain inventory of office supplies and equipment.
● Assist with keeping common spaces clean throughout the day (i.
e.
spot sweeping, empty filled trash cans, etc.
).
● Act as the main point of contact for third-party vendors such as our cleaning team, building manager, linen supplier, water supplier, etc.
● Assist CEO and providers with admin related needs.
● Handle incoming calls, emails, and correspondence with professionalism and excellent phone etiquette.
● Manage communication with local Doctors' offices.
● Communicate effectively with clinical, billing, and accounting teams.
● Manage front office, clinical staff, and support elements to ensure seamless delivery of quality healthcare.
*Qualifications:*
● Proven management experience in a podiatry or orthopedic setting.
● Strong organizational skills with the ability to multitask and prioritize tasks effectively.
● Proficient in using office software such as Microsoft Office Suite and EMR (preferably ATHENA).
● Excellent communication skills, both written and verbal.
● Ability to handle confidential information with discretion.
● Familiarity with phone systems and other office equipment.
