WPA is looking for a Chief of Staff to join our team of architects, urban designers, graphic designers, community engagement and educational specialists.
Our mission is to strengthen community through a collaborative design process.
We do this by focusing on projects that build social, economic, and coastal resilience.
The primary role of this position is to provide high-level administrative support to the CEO.
The Chief of Staff will also support the firm’s leadership team by managing administrative activities as needed.
We are looking for a candidate with a passion for building relationships within our firm and who can foster trust with our diverse clients and community members.

*The Role:*
The ideal candidate for this role will have exemplary oral and written communication skills and the ability to provide welcoming and friendly customer service.
They will adapt easily to a fast-paced work environment and will have strong organizational skills to include administrative tasks and overall support for the CEO as well as secondary support for the leadership team.
The Chief of Staff will be the CEO’s trusted partner, serving as both their right hand and a second set of eyes and ears.
The Chief of Staff job is to make sure the CEO has what they need to guide the company.
*Preferred Qualifications:*
We are looking for a Chief of Staff with similar qualities listed below, but welcome any experience that would make for a good candidate:
· Experienced working with executive-level management
· Proficient in Microsoft Word, Excel, Outlook, and related platforms
· Detail-oriented and able to handle multiple priorities simultaneously
· Strong interpersonal communications and teamwork skills
· Professional (punctual, reliable, trustworthy)
· Trustworthiness and discretion required for confidential projects
· Finely tuned emotional intelligence, judgement, diplomacy, and political acumen
*Duties:*
· *Communication - *Communicate on behalf of the CEO.
This requires keen attention to detail and the ability to develop correspondence on behalf of the CEO and/or leadership team.
Duties include:
o Monitor emails daily and flag items that need immediate attention
o Draft well-composed email responses on behalf of the CEO
o Respond to emails on CEO’s behalf in a timely manner when appropriate
o Listen to voicemails and flag items that need immediate attention
o Return calls on behalf of CEO and communicate any messages accordingly
· *Scheduling - *Duties include:
o Meet with CEO daily to coordinate plans for the day and adjust the week’s schedule
o Prioritize tasks throughout the day
o Maintain CEO and team calendars
o Meeting coordination – book spaces, travel, prepare materials
o Travel arrangement and coordination for CEO
o Coordinate, plan, and prepare for retreats, conferences, presentations, community engagements, meetings (on and off-site), etc.
primarily for CEO and/or leadership team with the assistance of the Studio Manager
o Schedule employee reviews and committee meetings
· *Support - *Administrative and support of the CEO; duties include:
o Attend high-level, confidential meetings
o Maintain timesheets daily for CEO
o Keep executive documents up to date
o Improve WPA processes and organize procedures to ensure efficiency and productivity
o Prepare and follow-up for meetings including preparing agendas, meeting minutes, file management, printing, meeting room set up and take down (refreshments, A/V set up)
o Draft AIA contracts with guidance
o Order meals when needed and ensure CEO has a break to recharge
