The Front Desk and Office Coordinator for the Office of Career Services is the primary contact for a busy student services office, responding to inquiries and disseminating information to the Harvard Law School (HLS) community.
Coordinate reception, collect and compile employment statistics, and oversee programming logistics.
Provide support to the Director, advisors, and other administrative staff.
Train new staff members and interns on front desk procedures.
During interview seasons, act as clearinghouse of information and assist with high-volume requests from students.
Provide back-up for tasks related to the coordination of interviewing seasons.
Assist with emailing reminders to students, employer scheduling, and information requests.
Position Description
As a Front Desk and Office Coordinator for the Office of Career Services, you will:
Serve as primary contact for students and graduates seeking assistance from the office either by phone, email or visiting the office.
Manage administrative support of programming: room reservations, advertising, catering and A/V, video captioning, communications and website updates, event problem-solving, sponsor billing, reports, webcasts, and calendar updates.
Coordinate large networking events and resume review programs with the administrative team
Monitor graduate employment and upcoming summer employment via student surveys and produce reports.
Significant effort in direct outreach via phone to students and graduates to verify survey information.
Problem-solve issues that arise during interview programs.
Provide technical assistance with passwords, the website, or job bank and respond to access reciprocity requests from HLS alumni and students, and graduates and students from other law schools.
Assist users of OCS resources.
Oversee the general upkeep of the office, especially the reception, kitchen and resource areas
Develop front desk procedures and training.
Coordinate short term coverage of the front desk as needed.
Distribute mail and share appointment scheduling for OCS staff and JD Advisors.
Basic Qualifications
3 or more years of experience in office administration or related field (business environment and/or customer service).
Education beyond high school may count toward experience.
