*About the Role:* The Program assistant is directly supervised by the ACT Team’s Team leader.
The Program Assistant is Organized and coordinates all operations of the team under the direction of the Team Leader and the Chief Clinical Officer.
Assists team members with coordination of other administrative and/or community resource needs.
Provides general problem solving and guidance for clients and team members related to ACT team model.
Coordinates communication between team members and clients as needed.
Responsible for clinical records management and the operation and management of the EHR system.
Maintains accounts and budget records for individual and program expenditures and performs administrative support activities.
*Responsibilities*: 1.
Attends and actively participates in daily ACT team meetings.
2.
Provides direct support to ICT Services, Inc.
ACT Team staff.
3.
Assists in the development and management of the daily and monthly staff schedule.
4.
Develops and manages the providers daily and monthly schedule.
5.
Assists with arranging, scheduling, and rescheduling both client and staff appointments and meetings, as well as other case management tasks.
6.
Records and maintains client hospitalizations and/or jail admissions and discharges to provide a source of information for statistical reports as reported.
7.
Records and maintains all other housing/vocational episodes in the EHR system.
8.
Serves as the office-based liaison between clients, their natural supports, outside providers, and staff to attend to emerging needs.
9.
Interfaces with individuals served, families/care givers, landlords, outside agencies, and other staff to answer questions and problem-solve.
10.
Serves as liaison for new referrals during the intake process and serves as the primary point of contact for both client and referral sources; to include scheduling, information gathering, Medicaid eligibility.
11.
Maintenance of new referral wait list.
And will notify new referrals if they don’t qualify will provide other resources.
12.
Ensures proper clinical records management.
13.
Handles all communications, written or verbal, confidentially and professionally in compliance with HIPAA standards and regulations.
14.
Assists with quality assurance chart review processes as scheduled.
15.
Coordinates conference/workshop travel and registration for staff as requested.
16.
Maintains files of current community resource information for use by all staff and clients as appropriate.
17.
Maintains file of community contacts/referral sources for continued coordination of services.

office is maintained in an organized manner allowing for efficient service provision.

Ledgering of all EHR system documentation daily.
20.
Manage phone lines and transferring of on-call phone weekly.
21.
Update EHR system and paper chart as necessary when Service Authorization approval or denials come in.
22.
Send and obtain client evaluations, compile client evaluation results to and with the guidance of the Chief Clinical Officer.
23.
Send out communications to Staff as needed under the guidance of leadership staff.
24.
Ensuring that all client files and doors are locked at the end of each day.
*Candidate Requirements: Knowledge, Skills, and abilities * 1.
Demonstrates knowledge of and experience in office management skills 2.
Knowledge of Medicaid billing rules and Medicaid fraud.
3.
Knowledge and experience with computerized records and reporting systems including excel spreadsheets and word processing skills.
4.
Ability to organize and maintain efficient filing systems, both electronic and paper files.
5.
Excellent interpersonal skills, oral and written communication skills, and ability to develop and maintain working relationships with staff and individuals served.
6.
Must be able to think critically and problem solve—recognizing escalating symptoms or situations and reacting quickly and appropriately in crisis situations.
7.
Knowledge of services for individuals with severe and persistent mental illness preferably in community-based setting.
Basic knowledge of agency, local, state, and federal regulations, and standards for related human rights, ethical, and legal concerns.
8.
Knowledge of the Department of Behavioral Health and Developmental Services (DBHDS) regulations for providers of mental health services.
9.
Ability to be self-directed and work independently.

*Education and Experience:* High School Diploma is required.
